About the Release

This release includes the following new features:
Rate Management has been modified to introduce “Rates Exceptions”. In current rate workflow, it was not possible to make exception rates for a small date range, in that case, the user has to create another season (modify the existing season also) and then create rates for that season. This process is not intuitive in the perspective of the functionality.
The system will now allow users to define rate exception over season rates. User will continue to make season rates but if there is the requirement to define rates for a week like Christmas or New Year.
New Button “Define Exception” has been given on “Rate Management” Screen. The button will be visible only if any rate is opened and the opened rate is not BAR rate.

You need to Select Room Type, Add Date from – Date to, rate for respective occupancies and then the Days on which this exception should be applied. (Mainly if for specific Days exceptions need not be applied, then the day should be unchecked)
After adding all the details then clicking on Save will create new Exception which will display in Red color font on the season rate display screen. (see below)
For more details about the Exception or if user wants to edit the exception need to go to the screen of Exception by clicking on “Define Exception”
Early booking and long stay discounts have been introduced on direct and indirect (Booked thru). The above discounts will be part of booked thru contracts. To provide discounts for FIT, a direct FIT booked thru will be created which will have proper contracts with discounts
Following type of discounts can be applied to Room Rates for a Booked thru Contract.
Night Incentives: Complimentary Nights can be given to guest if guest stays for a particular duration.
Long Stay Discount: Additional discounts can be offered to guests who stay for a longer duration.
Early Booking Discount: Applicable when a booking is received for arrivals after a specified number of days from the booking date or for arrivals after a specified date
Direct or indirect discounts can be applied using booked thru contracts.
Please enable booked thru discounts from mycloud PMS => System Configuration => Advance setup => 5 tab. Rate code for night incentive and default booked thru for direct bookings are mandatory if discounts are enabled
User must have access for following functions to create discounts:
Project => 'MFUN': Manager Functions,
Form => 'MFUN03': Booked thru
Functions:
'TADISCEBIRD', 'Early booking discounts'
'TADISCLONGST', 'Long stay discounts'
'TADISCRBLEND', 'Night incentives'
If discounts are enabled and above access are defined for the user, then the user will get the three discounts on Booked thru contract screen as highlighted in the next screen
Night incentives can be provided in the system either for Arrival between two dates or any dates with Minimum stay and Maximum stay duration with the number of nights off. In this setup while creating a reservation, the system will generate a Rate Blend for the complimentary night(s).
First, we have to select the rate code which will be applied on the complimentary nights. To get the complimentary nights the user has to create a rate code whose rates have to be 0. Selection of rate code can be done on Advance Control, Step 5 under System Configuration. The rate code selected here will be displayed on Rate Plan for all complimentary nights through Night’s Incentive. Complimentary nights for the last 3 days can be seen.
Creating Night Incentives
Stay from and Stay To indicate that the reservation will have to be made within this period.
Minimum Stay indicates the minimum number of Nights and Maximum Stay indicates maximum
Number of nights within which the guest will get complimentary nights.
Nights off specifies how many complimentary nights the guest will get.
Room indicates the room type for which night’s incentive is applicable on.
Delete Check box is to delete any previously created discount
Long Stay discounts:
If a guest stays for a minimum stay specified in the Long Stay Discount setup, then the discount specified will be applied on the Room Charge
Stay Nights means the number of nights after which the guest will get the discounts. E.g. if we enter 5 nights that means that if guest stay for 5 nights then the guest will get the mentioned discount
Discount is the percentage amount that will be deducted from the Room Rate to give discounts to the guest.
Stay From and Stay To fields are not mandatory. If specified then, the system will look at the Arrival Date of the guest and if it falls within this range and then the guest gets the discounts.
Early booking discounts:
Early booking discount is applicable based on the booking dates provided during the Guest Reservation. If the booking date falls between Reservation from and Reservation to dates or arrival date minus the booking date is prior to the Reservation Prior days specified, then an additional discount will be applied.
Stay from and Stay To if specified then the system will also check the arrival date of the guest and if the arrival date falls between stay from and stay to only then the discount will be applied
Users will get 2 ways of creating an Early Booking Discount.
• Using Reservation Prior Days – Here the user has to specify the specific days prior to which a reservation will be created in order to get discounts.
• Using Reservation From/To – By this the user has to enter dates within which if a reservation is created, then the user can get the specified discount.
Discount on Web Boking Engine:
The user when creating a reservation through Web Booking Engine will get to see the discounted rates in highlighted while the original rates will be striked off (as seen in next screen). Hence the user can see that he is getting the discounted rate instead of the normal rate. Striked off rate will be seen every time the user gets a discount that is the offered is less than the normal rate for a particular room type
It gets easy for the guest to check if he is getting Night Incentives (if applicable) or not, by clicking on the Room Rate Breakup icon. If he gets the complimentary nights then the room charge for those rates will be zero.
For example, as seen in the scenario below, the hotel gives 4 complimentary nights if the guest stays between 8-10 days. As the guest is looking to create a reservation for 10 nights, therefore, he gets 4 complimentary nights (above Figure)
