About the Release
This release includes the following new modifications/enhancements:
Now multiple properties can be added under a chain and users can perform following functions across the properties:
* Login to different properties at the time of sign-in
* Switch across the properties after login
* Create property specific or chain level roles
* Create property specific or chain level users
* Search reservations across the properties under the same chain
* Copy/Move future reservations across the properties under the same chain
* CRS related functions: Multi property availability, central history profile
* Please contact mycloud hospitality support to club your hotels under a chain.
Login to different properties at the time of sign-in
While login to the system, if the user has access to multiple properties, the system will show the list of properties in a popup with an option to search the properties.
* Only those properties will be displayed to which user has access
* Property can be searched by typing in the text box given above the property list
* Properties will be searched among the displayed properties only
* For login to a property, click on "Open" button given in the list or double click the row.
* If the user has access to a single property, then the system will not display any property list window but will login the user to that property.
Switch across the properties after login
Each product PMS/POS/System Admin has the option to switch property in the menu header as highlighted in the next screen
* Switch property option will display the list of properties to which the user has access except the logged-in property.
* This property list will be the same as of the time of login with search option.
* Switch property will open the same screen on the selected property which was opened on a previous property.
Create property specific or chain level roles
Role screen has been modified to create a role for the logged-in property or for the chain. Please refer next screen for the configuration change on role screen.
* If "Available to all properties in the chain" is checked then the role will be available to all properties under the same chain
* If "Available to all properties in the chain" is not checked then the role will be available to the logged-in property only
Create property specific or chain level users
The user screen has been modified to create a user for the logged-in property or for the chain. Please refer next screen for the configuration change on role screen.
* If "Can login to multiple properties in the chain?" is checked then the user can login to multiple properties under the same chain
* If "Can login to multiple properties in the chain?" is not checked then user can login to the logged-in property only
* In case of multiple property login, user role linking will be changed as per the highlighted section in the next screen. Here different roles can be assigned to the user for different properties.
* Only one role can be assigned to a property. * To remove access for any property, delete(make the text box blank) the role for that property from the list and click on "Save". * The list of role showing against each property includes the roles created for that property and chain level roles.
Search reservations across the properties under the same chain
* If the logged-in property is a chain property, then on "Express services" screen will have the option to search the reservations across all properties of chain.
* User can search reservation from all properties or from a single reservation
* No operation, except "Edit", will be allowed for reservations, for other than logged-in properties in the search list.
* "Edit" for reservations, for other than logged-in properties in the search list, will confirm for change property and open the reservation after changing the property.
Copy/Move future reservations across the properties under the same chain
* Any confirmed reservation can be copied or moved to another property in a chain.
* In case of "Copy/Move", the system will ask to change the room type and rate type for the second property, where reservation is being copied. This is to handle different room type and rate type on properties.
* In case of "Move", the system will cancel the booking on the first property and create a new booking on the second property.
* In case of "Move", the system will ask for cancel reason on the first property.
* In case of "Move", the system will ask for cancellation charges, if applicable. In this case, there will be no transfer of revenue/deposit to the second property, it has to be manual
CRS related functions: Multi property availability
* New function, "CRS", under front desk menu has been introduced for chain properties where users can check available rates, room types for multiple properties on a single screen.
The following operations are allowed on the screen.
* Check room availability for a single/all properties for a date, number of rooms.
* Check rate availability for a single/all properties for a date, Adult/Youth/Child occupancy, number of rooms, currency and selected rate.
* Make a reservation for the logged-in property only.
* Switch property to make the reservation on a particular property.
* Add/Modify marketing event notes.
* Navigate dates for next/previous 10 days
* Each day will show rate defined and number of available rooms for that date and room type.
* There is grouping of room types under each property. Room type line will show rates and available rooms for that date and property line will show total available rooms for all room types for that property.
* Each Property line has the option to switch property. There is no option of switch property for logged-in property.
* If a property is selected from the property list, then the system will show the rate types applicable for that property only.
* If no property is selected from the property list (ALL), then the system will show two rate types; "RACK rate" and "BAR rate". User can select a rate from these two. "Rack" and "BAR" rates can be different for each property so the system will show respected rate type's rate in the availability calendar
* If the currency select in the currency text box is different than that of the properties local currency, then the system will show the converted rate from the local currency to the selected currency.
* Currency conversion will happen online using live currency conversion rate available online.
* On drag and drop over available dates, the system will open the quick reservation screen (same as of tape chart) to make booking from the same screen.
* After successful booking, CRS screen will be refreshed to show the updated availability.
* Each property line has the option to add/modify marketing event notes for each date.
* These notes can be used by front desk users to guide guests while making bookings; These notes can have information related to some event happening in the city for that date or something else which will be helpful to upsell the rooms for those dates.
CRS related functions: Central Guest History
* History profile screen (Search/Maintenance) has been modified to show visit summary including revenue breakup.
* History Search screen modified to add two new search parameters:
* Search based on Date
1. Birthday
2. Anniversary
* Search based on number of visits
* Search based on revenue generated. This Revenue can be one of the following:
1. Room Revenue
2. F&B Revenue
3. MOD Revenue
4. Other Revenue
5. Total Revenue
* "Name" search will include the following criteria:
Name (last/first name) : Already exists
Firm Name : Already exists
City : Already exists
Designation : New
Country : New

* History Profile screen modified to show the "Preferences" and "Visits Summary".
Visits Summary :
* Visit summary will be shown for selected years and property.
* Default year range will be the last three years.
* Default property will be "ALL".
* User can change the year or property to view the respected values of the visit summary.
Following components will be shown as part of visits summary :
* Number of visits
* Room nights
* Room Revenue
* F&B Revenue
* MOD revenue
* Others Revenue
* Total Revenue
Visit wise summary
* Visit wise summary will show property name, arrival-departure dates, booked thru, pax details, total revenue, room type, room number with a link to show the visit details.
* Visit details link will open a popup with following information
Folios, including POS check transactions (option to view/print)

Preferences:
* System will show N number of preferences on the screen. The type of preferences can be a list/free text.
* Preference value can be set from the profile screen.
* Preference can be a list or free text
* Preferences can be set from parameter screen
Please refer next screen for the Preferences master setup.
Add/Edit Preferences :
* Add/Edit preferences will open the next screen where the user can set the preference.
* Preference can be set as a free text, list.
* Preference master setup will accept the preference description, type, and valid values, if it is a list.
* In case of the dropdown list, the system will allow the user to give N number of list values to be shown in the list

New function "Budget" has been introduced under "Manager Functions" as highlighted in next screen
This function will enable hotel to define their budgets against following components:-
* Occupancy
* Based on room nights
* Based on reservations
* Based on cancellations
* Based on no-shows
* Based on saleable rooms
* Based on complimentary rooms
* Revenue
* Based on revenue charges
* Market Segment
* Based on room nights
* Based on room revenue
* Based on F&B revenue
* Based on minor revenue
* Based on total revenue
Following is the process to define budgets :
* Select an option to define budget type "Occupancy" / "Revenue" / "Market Segment"
* This will show option in "Criteria" to select the next level component of the budget.
* "Occupancy" will show "Number of room nights", "Number of reservations","Number of cancellations", "Number of no-shows", "Number of saleable rooms", "Number of complimentary rooms" as next level components for which budgets will be defined
* "Revenue" will show "Revenue" as next level components for which budgets will be defined
* "Market Segment" will show "Number of room nights", "Room revenue","F&B revenue", "Minor revenue", "Total revenue" as next level components for which budgets will be defined
* After selecting the next level component click on "Refresh", this will refresh the left section of the screen where the different lowest level of components will be shown. If "Revenue" is the budget type then this will show a list of all revenue types in this section. please refer next screen.
If "Market Segment" is the budget type then this will show a list of all market segments in this section. please refer next screen.
* Now click on any of the lists of revenue charges or market segments to refresh the right screen to have budget values.
* This section will display the budget for the previous year, this year, and next year where users can define budgets for this year and next year.
* Budgets for the previous year cannot be modified.
* Along with budget values system will show actual values also
There is an option to auto-populate the budget values instead of manual entry. Please refer next screen
* Budget values can be auto-populated based on "Last Year Actual/Budget", "First Month of selected budget year" and "Evenly Distribute".
* In case of "Last Year Actual/Budget" a "%" value can be added/subtract or kept same based on last year budget values to get selected year's budget values
* In case of "First Month of selected budget year" a "%" value can be added/subtract or kept same based on last year budget values to get selected year's budget values
* In case of "Evenly Distribute" case the given amount will be distributed among 12 months of the selected year budget values.

* Daily Sales Report
* MIS Stats for date range
New Letter for confirmed guests has been introduced "Pre-Arrival". This is available on documents screen for confirmed guests.
This letter will be used as an alert to be sent to guests 1-2 days before their arrivals
GST invoice has been modified to show the payment details if any payment is done against the invoice.
GST invoice format has been modified to make the hotel and guest information more visible
GST invoice will have the following sections in order:
* Hotel information
* Guest personal information
* Guest stay information
* Billing instructions
* Invoice charge details
* Tax summary
* Payment summary
