About the Release

Modifications / Enhancements 

This release includes following new modifications / enhancements:

1. PMS/WBE => Interfaces => Payment Gateways => HDFC:-

HDFC payment gateway can be enabled from System admin => Interfaces configuration => Payment gateway => HDFC 

 

Now Online HDFC payment can be used from PMS to make payments, In case of this interface, a credit card icon will be shown if any credit card payment method is selected and on clicking on the icon, the system will redirect the user to online payment portal of the activated interface. And after making successful payment on the portal, the user will be redirected to PMS with the same account opened on the cashiering screen.

 

2. PMS/WBE => General Data Protection Regulation compliance:-

We have an updated system to meet GDPR compliances, make your hotel GDPR compliant, enable GDPR for processing under advance controls. Process records with compliance under a lawful basis. Request and manage consent from your guests efficiently. Go to compliance settings. Here user can select/enable the compliance. 

 

If the hotel enables GDPR compliance, GDPR dashboard will be available in the menu under manager functions as highlighted in the next screen.

 

GDPR dashboard will enable authorized users to view/modify/execute all GDPR consents (anonymize me/don't contact me).
Users will be able to search guests from current stays/archive/history and set their GDPR compliances.
Following operations can be performed from the dashboard screen:

1. Overview of GDPR data; like Consents obtained, forget me
2. User can view all consent obtained (Anonymized/communication preference)
3. User can modify the consents; same will be logged in system
4. User can email/download the guest data in CSV
5. User can perform the anonymize operation instantly
6. User can search other guests (not submitted any consent) based on name, email, contact to mark the consents. Guests will be searched in current stay/Archive/History

* Instant anonymize operation will be available only for those records, who have been already opted-in for "Anonymize me"
* To mark all records for "Anonymize me", check on "Mark all as 'Anonymize me'" and click on "Save"
* To mark all records for "Don’t contact me", check on "Mark all as 'Don’t contact me'" and click on "Save"
* If consent is marked for “Don’t contact me” then the system will not feature the guest in the search list for making “List” for an email campaign and will not send the guest for tripadvisor feedback
* Action taken against “Anonymize me” will be logged in to system who/when took the action
* Night audit process will perform the “Anonymize me” action based on consents given by the guests/users
* Night audit will delete the data from the system for “Anonymize me” records on the same day after checkout of the guest
* Classic mode if night audit will show the popup screen at 11 steps to show the qualified guests for deletion; if any record is qualified
* Express mode will not show any popup for guests list but will delete the data for qualified guests
 * If “Anonymize me” consent is captured for Archived/History guests, then on same night audit will delete the data for captured records;

* To perform instant anonymize operation; click on "Anonymize option" (). On click on the option system will show a confirmation message to continue. Click on "Yes" will delete guest personal data.

* To email/download guest data; click on "Email/Download guest data option" (). On click on the option system will ask if the data to be sent by email;* If click on "Yes" then the system will send the CSV file to the guest email id. If email id not present, then the system will ask for an email id * If click on "No" then the system will download the CSV file to the user's local machine.

Following data will be deleted for “Anonymize me” records;

1. Identification details
2. Visa details
3. Email id
4. Place of birth
5. Gender
6. Marital status
7. Firm name
8. Designation
9. Birthday
10. Address details
11. Contact details (name/email/numbers)
12. Father name
13. Mother Name
 14. Security Contexts

A particular guest can be marked for GDPR consents from reservation screen also. 

Night Audit steps (Purge data) in case GDPR compliance is enabled. 

List of Qualified guests to delete the personal data based on the "Anonymize me" option. 

 

Guests can submit their GDPR consents from the web booking engine by clicking on "Submit your GDPR consents" link given on availability and booking screens. 

This screen accepts guest name, email id and following three consents.

On submit click, the system will send an email to System admin of the hotel; and based on this email system admin will take appropriate action based on selected consents from GDPR dashboard screen.


Guests also can give their GDPR consents while making a booking through web booking engine, and these consents will be recorded in the system also to take further actions 

 

Default registration card has been modified to show GDPR consents at the end of the registration card. These GDPR consents will be available on registration card if GDPR compliance is ON 

* Default registration card's layout also has been changed to have the information under suitable headings 

3. PMS => Cashiering => Cash/Card Paid out Vouchers => Show Paid out (Cash/Card) description on voucher:-

Cash/Card Vouchers modified to show the paid-out description on vouchers :

First line of the voucher details has been modified to have paid-out description as below text:
[Cash Advance Received from] [HOTEL-NAME] [By] [CASH/CARD DESCRIPTION]
